Who we are

Reporta is operated from London, United Kingdom. This policy explains how we handle personal data when you use Reporta to create, store and share inspection reports. For any data protection question, contact support@reporta.uk.

UK GDPR & data protection

We process personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. You have the right to access, correct, export or request deletion of personal data we hold about you.

Your account

To use Reporta you create an account using your email address (and optionally Google sign-in). We store your email, basic profile information you provide, and a record of sign-in activity for security purposes.

Reports, photos & client data

Reports, observations, notes, recipient details and site photos you upload are stored in our managed database and private file storage. Access is restricted to your account by row-level security. We do not sell, rent or use your client data for marketing.

Where you include personal data of third parties (for example, a client name or property address), you are the data controller for that information and Reporta acts as your data processor.

Secure share links

When you share a finalised report, Reporta generates a long, unguessable link tied to that single report. Anyone with the link can view the report, so treat the link like a password and share it only with the intended recipient.

Email delivery

Transactional emails (report deliveries, authentication, important account notices) are sent from a Reporta-owned sender subdomain. Recipient address, subject and delivery status are logged so you have a send history per report.

Cookies & analytics

We use a small number of essential cookies to keep you signed in, and aggregated analytics (e.g. Google Analytics 4) to understand how the product is used. Analytics data is processed in an aggregated form and is not used to build advertising profiles of individuals.

How long we keep data

We retain account and report data for as long as your account is active. You can delete individual reports, sections, observations and photos from within the app at any time.

Account closure & deletion requests

You can request closure of your account and deletion of associated personal data by emailing support@reporta.uk. We will action verified requests within 30 days, subject to any legal retention obligations.

Changes to this policy

We may update this Privacy Policy as the product evolves. Material changes will be communicated by updating the date at the top of this page or by email where appropriate.
